Terms and Conditions of Booking

1. Completion of this form confirms you wish to attend

2. All bookings must be with the Lodge by not later than 6th May 2022. Late bookings may or may not be honoured due to restrictions on seating and accommodation at the selected hotel

3. All bookings must be completed either online, or direct with the Lodge. No contact with any of the venues is allowed to ensure the best experience for the group as a whole

4. Cancellation of your booking: you may cancel your booking in full by 6th May 2022. Thereafter no cancellations can be accommodated and the full amount for your booking will be due. Cancellations made by 6th May 2022 will be refunded less an administration fee of £25 per person. The host Lodge reserves the right to cancel the event due to Government Guidance or other National Regulations applicable at that time

5. GDPR: during the weekend there will be event photography taking place. Photographs will be loaded to our Lodge website and Social Media pages. The copyright of those photographs belongs to the Lodge. If you do not wish to be in the photographs, please advise the photographer. No names will appear with the event photography other than key members of the host Lodge. At the end of the event, your details will be destroyed other than where a claim is to be made for damages or non-payment during the weekend

6. VAT: the Lodge is not VAT registered

7. Dress Code: we kindly request attendance at each event conforms to the dress code specified in your booking confirmation

8. Special requests: any dietary or other special request needs to be stated on the booking form and where possible the host Lodge will accommodate those requests e.g. dietary needs, accessibility etc. On no account are requests to be made direct with any of the venues

9. Non-Masonic guests are very welcome at the Saturday Gala Dinner - please complete details in the relevant section of the application form below (together with any hotel accommodation for the Saturday night)

10. When booking in at the hotel, you will be requested to complete a credit/debit card imprint for items you may wish to charge to your room outside of the agreed weekend package

11. Any bookings for Spa / Beauty Treatments etc are not included in the costs of the weekend set out below and are payable at the venue. Other food / beverages outside the agreed weekend package are payable at the venue

12. Check-in time for rooms at the hotel is 15:00hrs; Check-out time is 12:00hrs. Please adhere to these times to assist the hotel in making ready for our weekend. Earlier arrival or later check-out will incur costs directly billed to individuals and not the event

13. Lodge Assistance: during the weekend there will be members of the host Lodge available to assist attendees with any matter which may arise. The host Lodge should be your first point of contact in all matters

14. All attendees are responsible for their own conduct and health & safety during the weekend

 

Payment

Payment for the full value of the selected activities/accommodation MUST be made at time of booking (and by no later than 6th May 2022), by one of the following methods:

• BACS (Sortcode 20-36-43 Account Number 80698296 with your surname & BW2022 as reference)

• Cheque, posted to The Treasurer, NSRTL No.8355, c/o 19 Station Court, Newport, Shropshire. TF10 7RZ

Once your payment is received, we will email confirmation of your booking to you. Please note that no booking should be considered valid until you have received confirmation from us*.
